A well-constructed timetable establishes a natural rhythm and routine that provides academic clarity and administrative efficiency. It ensures systematic delivery of the curriculum, optimal utilization of institutional resources, and promotes punctuality, discipline, regularity, and consistency among faculty and students. At Jayalakshmi Institute of Technology (JIT), the Time Table Committee plays a vital role in the smooth planning and execution of academic schedules for all departments.

Objective

The primary objective of the Time Table Committee at JIT is:

  • To ensure smooth and efficient academic planning across Odd and Even semesters.
  • To facilitate structured implementation of the curriculum.
  • To optimize faculty workload distribution.
  • To ensure effective utilization of classrooms and laboratories.
  • To maintain academic discipline and punctuality.

Effective time management reflects the academic standards of the institution and contributes to the overall growth and development of JIT.

Responsibilities Of Institute Time-table Coordinator

The Institute Time-Table Coordinator shall be responsible for the following:

  • Act as a mentor and prepare the Institute Time Table in accordance with:
    1. AICTE norms
    2. Anna University regulations
    3. Approved Course Curriculum
    4. Institutional Academic Calendar
  • Prepare the Time Table for all UG and PG Courses in the prescribed format before the commencement of each semester.
  • Ensure proper allocation of:
    1. Lecture Halls
    2. Laboratories
    3. Seminar Halls without any overlapping.
  • Maintain Department Master / Class Timetables in a common approved template.
  • Prepare the timetable plan well in advance of commencement of classes in consultation with all departments.
  • Schedule classrooms, laboratories, and seminar halls based on availability and academic requirements.
  • Resolve disputes related to timetable preparation and resource allocation.
  • Submit the signed final Time Table to IQAC for documentation and quality monitoring.
  • Ensure publication of the approved Time Table on the Institutional Website.
  • Perform any additional duties assigned by the Principal or higher authorities from time to time.

Responsibilities Of Department Time-table Coordinator

The Department Time-Table Coordinator shall:

  • Prepare the Department Time Table for:
    1. Theory Classes
    2. Practical / Laboratory Classes
    3. Tutorial Sessions
    4. Lab-wise and Classroom-wise Scheduling
  • In coordination with the Head of the Department (HoD) at the beginning of each semester.
  • Assign:
    1. Classrooms
    2. Tutorial Rooms
    3. Shared/Common Resources (labs, seminar halls, etc.)
  • Prepare individual timetables for faculty and supporting staff.
  • Update the timetable whenever necessary.
  • Inform faculty members well in advance regarding any changes in the timetable.
  • Report discrepancies or scheduling conflicts to the HoD immediately.
  • Coordinate sharing of teaching loads with other departments, where applicable.
  • Communicate the finalized Class Time Tables to:
    1. Faculty Members
    2. Students
    3. Institute Level Time-Table Coordinator
  • Coordinate with HoDs for equitable workload distribution.
  • Incorporate University Academic Calendar guidelines into the Department Time Table.
  • Make necessary revisions in case of:
    1. Faculty Adjustments
    2. Clash of Timings
    3. Special Classes
    4. Internal Assessment Tests
    5. University Examinations
  • Circulate the approved timetable to faculty members and students.
  • Maintain records of all timetables and revisions for documentation and audit purposes (NAAC/Autonomous compliance).
  • Perform additional duties assigned by higher authorities from time to time.
